Position Summary
The Accounts Payable III role is responsible for completing payments, controlling expenses, and maintaining accurate accounting records for the organization. This position processes, verifies, and reconciles invoices; prepares vendor and employee payments; and maintains communication with team members regarding accounts payable matters. The role also supports internal control compliance and applies technology to enhance accounting efficiency.
Key Responsibilities
- Enter invoices with appropriate coding and review expense reports for missing receipts or coding
- Process vendor payments, verify federal ID numbers, schedule and prepare checks, and resolve payment discrepancies
- Process employee payments by verifying expense reports, advances, and preparing ACH transactions
- Maintain accounting ledgers by verifying and posting account transactions in Costpoint
- Reconcile vendor accounts and monthly statements
- Maintain historical records through scanning and organizing documentation
- Protect organizational value by maintaining confidentiality
- Participate in professional development to maintain current job knowledge
- Complete related accounting tasks as needed to support organizational goals
- Process annual 1099 forms
- Maintain open communication with team members regarding accounts payable items
- Process remittance information from checks, drafts, and wire transfers
- Apply technology to accounting processes to improve accuracy and efficiency
- Participate in the evaluation of internal controls for compliance
- Prepare payables and complete all required standard operating procedures
Qualifications & Experience
Required:
- 4–5 years of accounts payable experience
- High school diploma; associate degree preferred
- Reliability and trustworthiness
- Proficiency in Microsoft Office Suite or related software
- Ability to learn accounting systems
- Excellent organizational skills and attention to detail
- Ability to maintain confidential and accurate records
Work Environment & Physical Requirements
- Professional office environment with routine use of standard office equipment
- Ability to remain in a stationary position 75% of the time
- Occasional movement within the office to access files and equipment
- Frequent operation of computers, calculators, and other office machinery
- Frequent verbal communication requiring clarity and precision
- Ability to lift and move up to 25 lbs.
- Ability to work indoors 90% of the time
- Regular standing, walking, handling materials, and reaching with hands and arms
Schedule
- Full-time, Monday through Friday, 8:00 a.m. – 5:00 p.m.
- Evening and weekend work as required by business need
