General Summary
The Secretary 3 performs advanced clerical duties requiring specialized knowledge and proficiency in administrative processes. This role involves preparing and maintaining records, handling correspondence, providing customer service, and ensuring the efficient operation of office functions. The position requires a high level of accuracy, attention to detail, and the ability to work independently.
Key Responsibilities:
- Administrative Support:
- Prepare, review, and process various documents such as reports, forms, and correspondence.
- Maintain accurate records, files, and databases in compliance with company policies.
- Data Entry and Management:
- Input and verify data in organizational systems with a high degree of accuracy.
- Retrieve and compile information for reports and analysis.
- Customer Service:
- Respond to inquiries via phone, email, or in person.
- Provide information and resolve issues related to office operations or services.
- Coordination and Scheduling:
- Schedule meetings, appointments, and events as required.
- Assist in coordinating logistics for internal and external communication.
- Clerical Duties:
- Operate standard office equipment such as photocopiers, fax machines, and scanners.
- Sort and distribute incoming and outgoing mail and packages.
- Compliance and Confidentiality:
- Ensure compliance with organizational policies and procedures.
- Maintain confidentiality of sensitive information.
Qualifications:
- Education: High school diploma or equivalent; associate degree preferred.
- Experience:
- At least 2-4 years of clerical or administrative experience.
- Proficiency in office software such as Microsoft Office Suite (Word, Excel, Outlook).
- Skills:
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize work effectively.
- Attention to detail and accuracy.
Working Conditions:
