Summary

SUMMARY

The Front Desk Clerk at the Military & Family Readiness Center (M&FRC), Ellsworth AFB, serves a vital administrative and customer-facing role, ensuring smooth daily operations and professional engagement with service members, families, and visitors. The clerk is responsible for managing incoming calls and foot traffic, providing accurate information, scheduling participants for a range of readiness programs, and maintaining detailed records in government systems such as AFFIRST and DIMS. This position requires a high degree of organization, discretion, and the ability to multitask in a fast-paced, service-oriented environment. Candidates must have a high school diploma, at least two years of relevant administrative experience, and strong proficiency in Microsoft Office and web-based platforms. The role demands attention to detail, clear communication, and a customer-first mindset, all while upholding the security, confidentiality, and professional standards required on a U.S. military installation.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES The contractor employee's essential functions include, but are not limited to:

  • Receiving telephone calls.
  • Greeting visitors and ascertaining the nature of calls or visits.
  • Directing clients to the appropriate program manager within the M&FRC.
  • Scheduling clients for M&FRC classes.
  • Providing complete and clear information for most routine or procedural issues.
  • Performing various clerical and administrative duties.
  • Enter and maintain required data in the AFFIRST system and other designated web applications, while scheduling customers for a full range of Military & Family Readiness Center programs, including Pre-Separation, TAP GPS, ETAP, VA Benefits Briefings I and II, Education, Technical and Skills Tracks, Entrepreneur Track (Boots to Business), and the Capstone Event.
  • Manage scheduling for all A&FRC programs using AFFIRST, support program materials and handouts, assist clients with lobby technology, uphold confidentiality safeguards, and maintain a clean and organized front desk area.
  • Reporting inoperable equipment to A&FRC management.
  • Determining the needs of clients who call or walk in with family issues and connecting them with appropriate staff, while also raising awareness of A&FRC programs and services.
  • Providing the M&FRC Flight Chief a monthly data entry report in the approved format no later than the fifth working day of the month.

SKILLS AND QUALIFICATIONS

  • A strong working knowledge and capability to operate data entry device(s) to input lists, records, or other data points into an electronic format.
  • A strong working knowledge of Web Based applications, MS Office Word, MS Office Excel, and other MS Office Suite Products.
  • Familiarity with standard concepts, practices, and procedures within a customer support and business environment.
  • The ability to speak, write, read and understand the English language fluently.
  • The ability to gain competency and proficiency of duties within thirty (30) calendar days of reporting for work.

EDUCATION & EXPERIENCE

  • As a minimum, a High School diploma and 2 years of experience in a data entry environment.
  • Education and past experience must be demonstrated via resume, including a list of past performance and verifiable professional references.
  • Submitted resume(s) must contain sufficient information to demonstrate relevant experience and qualifications, and clearly show that the candidate meets the minimum requirements for education, experience, and skills as specified above.

SUPERVISORY RESPONSIBILITY

This position does not have direct supervisory responsibilities

 

WORK ENVIRONMENT

Work is performed in a professional office setting or remote telework environment. Must be able to operate standard office equipment, including computers, printers, and communication systems.

 

PHYSICAL DEMANDS

  • Frequently required to sit, talk, and use hands to operate equipment.
  • Occasionally required to lift objects up to 25 pounds.
  • Requires close vision, distance vision, and the ability to focus for extended periods.
