SUMMARY

 

The Medical Clerk provides vital administrative support to the Pain Clinic at Walter Reed National Military Medical Center (WRNMMC). This role involves managing patient scheduling, medical record maintenance, data entry, and ensuring the smooth operation of clinic functions. The Medical Clerk is also responsible for coding patient visits using ICD-9 and CPT classifications, transcribing physician orders, and maintaining compliance with HIPAA and Joint Commission standards. The clerk plays an essential role in ensuring that all administrative tasks are completed efficiently, enabling clinical staff to focus on patient care and improving the overall functionality of the clinic.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Data Entry and Record Management: Enter and retrieve patient data using the MHS GENESIS system, ensuring accurate tracking of procedures, medications, and medical history. Maintain up-to-date patient records and prepare required reports.
  • Patient Scheduling and Coordination: Schedule patient appointments, coordinate special procedures with anesthesiologists, radiology departments, and other providers, and ensure seamless clinic operations. Assist with arranging telephone consults and scheduling follow-up appointments for patients.
  • Coding and Documentation: Accurately code patient records, assigning appropriate ICD-9-CM and CPT codes for diagnoses, procedures, and evaluation management (E&M) services. Ensure the integrity of medical documentation for billing and reporting purposes.
  • Patient Intake and Support: Perform intake and check-in for patients arriving for appointments, ensuring all necessary medical reports (e.g., radiology, lab work) are available for physician review. Transcribe physician orders and assist with laboratory test orders, consults, and correspondence.
  • Compliance and Reporting: Monitor compliance with HIPAA and Protected Health Information (PHI) guidelines, maintaining privacy and security of patient records. Assist in processing consults and documentation in line with Centers for Medicare & Medicaid Services (CMS) requirements.
  • Support for Research and Academic Activities: Provide necessary reports and data for research and academic requirements, assisting anesthesia residents with their evaluations. Assist new staff and residents in understanding coding and documentation policies and procedures.
  • Administrative Support and Team Collaboration: Prepare daily work schedules, including preoperative regional block surgery packets. Enforce clinic Standard Operating Procedures (SOPs) and ensure all records are properly maintained.

SKILLS AND QUALIFICATIONS

 

  • Proficiency in medical coding systems, including ICD-9-CM, CPT, and E&M classifications.
  • Experience using MHS GENESIS and Advanced Data Systems (ADS) for managing patient medical records.
  • Knowledge of medical terminology, anatomy, and healthcare procedures.
  • Ability to interact professionally with patients, particularly those in pain or distress.
  • Strong organizational skills and attention to detail in managing medical records and scheduling.
  • Proficiency with Microsoft Office applications, including Word, PowerPoint, and Excel.

 

EDUCATION & EXPERIENCE

 

  • High school diploma or GED.
  • Minimum of one year of full-time experience in a medical office or healthcare setting.
  • Experience with ICD-9 coding and familiarity with CPT classifications.

 

SUPERVISORY RESPONSIBILITY

 

There are no supervisory responsibilities associated with this position.
