SUMMARY
The Grant Management Specialist is responsible for the detailed administration of grants, focusing on financial analysis, compliance monitoring, and technical assistance to ensure effective and compliant grant management. This role is critical in facilitating the grant process from pre-award to post-award, including proposal preparation, budget development, submission, and follow-up. The Specialist plays a key role in maintaining accurate documentation, managing grant databases, and supporting relationships with funders. In the absence of a Senior Grant Manager, the Specialist may assume more senior responsibilities to ensure the continuity of grant operations.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Grant Administration: Facilitate the complete grant process, including research, preparation, submission, and follow-up on industry, foundation, and government grants. Ensure that all grant activities are aligned with organizational goals and funding agency requirements.
- Financial Analysis and Budget Management: Conduct detailed budgetary and financial analysis for grant applications. Develop and monitor budgets, track expenditures, and reconcile grant expenditure reports to ensure compliance with budgetary constraints and funding guidelines.
- Compliance Monitoring: Monitor grant activities to ensure adherence to federal, state, and organizational regulations. Identify potential compliance issues and take corrective actions to resolve them. Ensure all grant documentation is accurate, complete, and meets regulatory requirements.
- Technical Assistance and Support: Provide ongoing support and technical assistance to grant recipients to enhance their understanding of compliance requirements, reporting procedures, and best practices in grant management. Offer training and guidance to internal staff and external partners.
- Proposal Development and Review: Assist in drafting, reviewing, and editing grant proposals to ensure clarity, accuracy, and compliance with funding agency guidelines. Develop compelling and well-written proposals that align with organizational strategies and funding priorities.
- Record-Keeping and Documentation: Maintain comprehensive records of all grant activities, including proposals, budget reports, expenditure statements, and correspondence with funders. Manage grant databases to support future reference and audit requirements.
- Stakeholder Engagement: Establish and maintain positive relationships with current and potential funding sources. Communicate with funders regarding the status of grant applications and provide updates on grant performance.
- Reporting and Communication: Prepare grant-related reports, including financial statements, progress updates, and compliance reports. Support the development of annual reports, newsletters, and other communication materials that highlight grant achievements and impact.

SKILLS AND QUALIFICATIONS
- Strong knowledge of grant management processes, including proposal development, budget management, and compliance monitoring.
- Proficiency in financial analysis and budget reconciliation.
- Excellent communication and writing skills for effective proposal development and stakeholder engagement.
- Ability to work independently and manage multiple tasks simultaneously.
- Familiarity with federal regulations and guidelines for grant management.
- Proficient in using grant management software and database systems.
- Strong organizational skills and attention to detail.
EDUCATION & EXPERIENCE
- Bachelor’s degree with 8-10 years of experience, or a Master’s degree with 6-8 years of experience in grant management, finance, public administration, or a related field.
- Experience in managing federal or state grants, particularly within ACF or similar organizations, is highly preferred.
SUPERVISORY RESPONSIBILITY
No direct supervisory responsibilities. However, the Specialist may take on more senior responsibilities in the absence of a Senior Grant Manager and may provide guidance and support to junior staff or volunteers involved in grant-related activities.
WORK ENVIRONMENT
The work environment is primarily office-based, involving collaboration with team members and interaction with stakeholders, with occasional offsite meetings and travel as required.

PHYSICAL DEMANDS
This position is mainly sedentary, involving extended periods of sitting, computer use, and occasional light lifting of office materials up to 20 pounds.
POSITION TYPE/EXPECTED HOURS OF WORK
Full-time position, with core work hours from 8:30 AM to 4:30 PM, Monday through Friday.
TRAVEL REQUIREMENTS
Regular commute to primary work location is not considered travel. Limited travel may be required for site visits, training sessions, and meetings with funders and grant recipients.
CLEARANCE/LICENSE REQUIREMENTS
- Must pass a federal background check and adhere to ACF security and confidentiality protocols.
- Compliance with all Health and Human Services (HHS) and ACF information security, privacy, and training requirements.
