Summary

SUMMARY: 

Assists Human Resources department in carrying out various administrative functions. This individual will also be responsible for being the main point of contact for the Village Pointe Office and any company/subsidiary operating in Village Pointe. Duties include greeting clients/visitors, answer the telephone and relay incoming and interoffice calls, receive & monitor all incoming and outgoing mail and packages, and provide a broad range of office and clerical support to the company.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

·         Answers incoming telephone calls, screen calls and refers to proper HR staff for handling.  Assists directly with routine inquires.

  • Greets all visitors courteously, determines their needs, and directs them to the proper person and/or office.
  • Assist in the planning and coordination of all building sponsored events.
  • Organize and maintain all common areas including meeting and training rooms. This includes coordinating with the Operations Specialist with various needs for the common areas.
  • Examines employee files to answer inquiries and provide information for personnel requests.
  • Maintain listing of vacancies, assists in creation of job postings, descriptions and other related documents.
  • Application processing (processes and reviews application/resume; screens applicants to obtain and verify information; identifies applications having specified job requirements and refers to requesting official; verify references; refer for pre-employment screening).
  • Perform on boarding tasks: scheduling orientation, completing and verifying paperwork with new hires, tour of facility and introduction to chain of command.
  • Communicates with employees and/or applicants to explain Ho-Chunk, Inc. personnel policies and procedures.
  • Maintain strict confidentiality regarding sensitive materials that incumbent may come across.
  • Utilize the HR Online software program maintaining appropriate up to date data on employee information and statistics.
  • All other job-related duties as assigned by immediate supervisor.

           

SKILLS AND QUALIFICATIONS:

  • Detail-oriented, self-motivated and able to work in a deadline driven environment
  • Ability to read and comprehend simple instructions, short correspondence and memos
  • Excellent communication skills, both written and verbal
  • Effectively present information one on one and small group situations to customers, clients and other employees of the organization
  • Ability to prioritize workload, solve problems quickly and interact with others to achieve efficient, seamless workflow
  • The ability to communicate effectively and work collaboratively with staff members, clients, and external partners
  • The ability to effectively use standard business software such as Microsoft Word, PowerPoint and Excel and to use the Internet for research and information-gathering.
  • Ability to stand for long periods of time, must be able to lift up to 50 pounds of force occasionally
  • Maintains a valid Driver’s License and be insurable under company insurance provider/program

 

EDUCATION and/or EXPERIENCE:

Associate degree (A.A.) in Human Resources or related field, two (2) or more years related experience and/or training; or equivalent combination of education or experience.
