Summary

SUMMARY: The Communications Specialist supports the program office and stakeholders with internal/external communications, project tracking, and quality assurance for the IHS Executive Secretariat.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Gathers, analyzes, and composes technical information and documentation.
  • Supports planning, tracking, and scheduling of project activities and tasks.
  • Establishes schedules for document production and conducts quality assurance/control inspections to ensure standards are met.
  • Interprets reporting documentation for editing and graphics in the preparation of deliverables.
  • Maintains a tracking system for correspondence, including metrics on response times and outstanding items.

SKILLS AND QUALIFICATIONS:

  • Strong ability to use proper program and technical terminology.
  • Experience generating weekly and daily reports summarizing volume and status of communications.
  • Proficiency in SharePoint online, MS Teams, OneDrive, and internal tracking systems (ATS).
  • Excellent interpersonal communication skills to address concerns and seek clarification from the ESS Director.

EDUCATION & EXPERIENCE:

  • Education: Bachelor’s Degree or equivalent experience.
  • Experience: Minimum of two (2) years of related experience.

SUPERVISORY RESPONSIBILITY: None 

 

WORK ENVIRONMENT: IHS Office of Executive Secretariat Staff under the Office of the IHS Director.

 

ROLE and LOCATION SPECIFIC FUNCTIONS: Services support the IHS Office of the Director (OD), all IHS Area Offices, and Headquarters (HQ) Offices.

 

POSITION TYPE/EXPECTED HOURS OF WORK: Full-time; assigned resources must be available for a minimum of 40 hours per week during core hours of 9:00 AM – 5:30 PM EST.

 

TRAVEL REQUIREMENTS: Not explicitly required, though pricing must include any applicable travel costs.

 

CLEARANCE/LICENSE REQUIREMENTS: Must undergo a criminal background check and character investigation in accordance with the Crime Control Act and the Indian Child Protection and Family Violence Act.
