Position Summary
The Administrative Assistant provides comprehensive clerical and administrative support to assigned departments. This role ensures efficient daily operations by managing communications, coordinating logistics, maintaining records, and supporting internal and external stakeholders in a fast-paced hospitality environment.
Key Responsibilities
- Provide administrative support to assigned departments, ensuring timely and accurate task completion
- Greet visitors, determine purpose of visit, and notify appropriate staff
- Manage incoming and outgoing communications, including phone calls, emails, and faxes
- Operate standard office equipment, including multi-line phones, copiers, and computers
- Organize, maintain, and update physical and electronic filing systems
- Coordinate shipping, mailing, and package distribution
- Order and maintain inventory of office and pantry supplies
- Serve as a liaison between departments, vendors, and guests
- Maintain department calendars and contact directories
- Coordinate conference room scheduling and meeting logistics
- Prepare meeting materials, including reports and PowerPoint presentations
- Document and distribute meeting minutes while maintaining confidentiality
- Compose and edit correspondence, reports, and internal documents
- Arrange travel accommodations, including flights, hotels, and transportation
- Assist with event planning and coordination
- Conduct research and gather information as requested by management
- Address questions and concerns, ensuring timely resolution or escalation
- Maintain a clean, organized, and professional work environment
- Foster positive working relationships with team members, clients, and vendors
- Perform additional duties as assigned
Qualifications & Experience
Required:
- Must be at least 19 years of age
- Minimum of two (2) years of administrative support experience
- Proficiency in Microsoft Office Suite or related software
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Strong analytical and problem-solving abilities
Preferred:
- Associate degree in a related field or equivalent experience
- Experience in hospitality or gaming environments
- Experience supporting legal or corporate office functions
Work Environment & Physical Requirements
- Primarily office-based environment with regular use of standard office equipment
- Exposure to moderate noise levels and occasional secondhand smoke
- Ability to remain stationary for extended periods
- Frequent movement within the office to support operational needs
- Ability to lift and carry up to 25 pounds
- Requires sustained concentration, attention to detail, and multitasking

- Schedule varies based on business needs, including evenings, weekends, and holidays
- Some travel may be required
