SUMMARY

The Administrative Support Assistant provides essential administrative and clerical services to support the efficient daily operation of the Bemidji Area Office (BAO). The role involves performing routine business office activities and clerical functions to ensure smooth office operations.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

The primary tasks for this role include:

  • Providing general clerical and administrative support.
  • Answering and routing incoming telephone calls.
  • Receiving, sorting, and distributing incoming mail and correspondence.
  • Preparing correspondence, memoranda, reports, and other official documents.
  • Maintaining both electronic and paper filing systems.
  • Scheduling meetings, appointments, and reserving conference rooms.
  • Assisting with travel documentation and the processing of vouchers.
  • Entering and maintaining data within office systems and databases.
  • Assisting with records management in alignment with federal guidelines.
  • Providing support for office events, meetings, and training sessions as required.

 

SKILLS AND QUALIFICATIONS

  • Technical Proficiency: Must be proficient in Microsoft Office applications.
  • Communication: Strong organizational and communication skills are required.
  • Professionalism: Must conduct oneself in a professional and courteous manner at all times.
  • Confidentiality: Ability to maintain strict confidentiality regarding sensitive information, Personally Identifiable Information (PII), and Protected Health Information (PHI) in compliance with HIPAA and the Privacy Act.

 

EDUCATION & EXPERIENCE

  • Education: Minimum of a high school diploma or equivalent.
  • Experience: 5-6 years demonstrated experience in administrative or clerical support.

 

SUPERVISORY RESPONSIBILITY

No supervision is required for this position.

 

WORK ENVIRONMENT

The government will provide the necessary office workspace, telephone, computer equipment, and access to required software and systems.

 

 

PHYSICAL DEMANDS

The tasks involve typical office activities such as filing and mail distribution.

 

ROLE and LOCATION SPECIFIC FUNCTIONS

The position is located at the Bemidji Area Office Indian Health Service, 2225 Cooperative Court NW, Bemidji, MN 56601.

 

Because this role may involve contact with or control over Indian children, the individual is subject to a character investigation under the Indian Child Protection and Family Violence Prevention Act.

 

POSITION TYPE/EXPECTED HOURS OF WORK

  • Hours: Approximately 40 hours per week.
  • Overtime: Overtime is not authorized for this position.
  • Holidays: No work required during federal holidays and facility closures.

 

TRAVEL REQUIREMENTS

No travel required.

 

CLEARANCE/LICENSE REQUIREMENTS

  • Must meet Federal personnel security and background check requirements.
  • Completion of HHS-975 for Personal Identity Verification (PIV) card access.
  • Subject to a character investigation (P.L. 101-630) for roles involving contact with Indian children.
